How much does a corporate event costKnow the number before leadership asks for it.
Published prices for venues, banquets, offsite packages and agency fees across Bangalore, Goa and Kerala — with the sources, the confidence and the formula that turns them into a budget.
How much does a corporate event cost in India?
It scales with headcount, nights and production. Published references: resort day outings near Bangalore at ₹1,200–2,500 per person, overnight offsite packages at ₹4,500–10,000 per person per night, 5-star banquet menus at ₹1,500–5,000 per plate, a bare 1,400-seat BIEC hall at ₹2,28,135 a day, and agency fees often 10–20% — plus 18% GST.
Last checked October 2026. Every figure on this page is a published reference with its source and our confidence in it. None of them is a Pani Productions quote. They are here so you can sanity-check any estimate — ours included — before it goes to your finance team.
The budget rarely breaks on the big lines. It breaks on the ones nobody listed.
- The quote doubles in event week.Every “small change” arrives as a new invoice. Ask for changes to be priced in writing before they are approved.
- The fee is hidden in the vendor lines. If you cannot see the agency fee as its own line, you cannot compare two quotes. Ask for it separately.
- GST was not in the number you approved. An 18% surprise is the fastest way to lose finance’s trust. Approve totals with tax shown.
- Headcount moves after the hotel is locked.Per-plate and room-block minimums mean fewer guests can cost the same — and more guests cost more.

How we keep your number honest from first estimate to final invoice
- Itemised estimate: venue, food, production, travel and our fee on separate lines
- Tax shown on every total you are asked to approve
- Every change priced in writing before it is made
- Reconciled invoice against the estimate at close-out
- GST invoicing your finance team can process without a call

How to estimate a corporate event budget
Every corporate event budget is the same seven lines. The formula:
Budget = rooms × nights + (per-plate × meals × pax) + venue per day + production + transfers or flights + agency fee + 18% GST
| Line | How it is calculated | Where the number comes from |
|---|---|---|
| Rooms | rooms × nights | Hotel quote for your dates; peak season costs most |
| Food and beverage | per-plate × meals × pax | Banquet menus (see table); bar is usually extra |
| Venue | hall rent per day × days | Rate card (e.g. BIEC) or waived against a hotel’s F&B minimum |
| Production | stage + LED + sound + light + crew | Quoted from the technical rider; no reliable public benchmark |
| Travel | transfers + flights | Coach quotes and your flight manifest |
| Agency fee | % of budget or fixed fee | Often 10–20% (generic benchmark) |
| GST | 18% on the total above | Check line-wise treatment on the final invoice |

One day, 1,000 delegates, local audience, BIEC’s Jacaranda hall. The lean and premium columns differ only in the menu and the fee — which is the point: food usually moves the number more than the venue does.
| Line | Lean | Premium | Reference used |
|---|---|---|---|
| Venue: BIEC Jacaranda hall, 1 day, bare | ₹2,28,135 | ₹2,28,135 | BIEC official rate card |
| Stage: 1,000 sq ft (50 ft × 20 ft) × ₹75 | ₹75,000 | ₹75,000 | BIEC official rate card |
| Lunch: 1,000 delegates × 1 meal × per-plate | ₹15,00,000 (at ₹1,500) | ₹50,00,000 (at ₹5,000) | Bangalore 5-star banquet listing range |
| Rooms and travel | ₹0 (local delegates) | ₹0 (local delegates) | — |
| Production (LED, sound, light, crew) | Not illustrated | Not illustrated | No reliable public figure — always quoted |
| Subtotal | ₹18,03,135 | ₹53,03,135 | |
| Agency fee | ₹1,80,314 (10%) | ₹10,60,627 (20%) | AAFT benchmark |
| GST at 18% | ₹3,57,021 | ₹11,45,477 | Build-up formula |
| Total before production | ₹23,40,470 | ₹75,09,239 | |
| Per delegate | ≈₹2,340 | ≈₹7,509 |
BIEC figures from the BIEC rate card (Apr 2025–Mar 2026, plus taxes). Per-plate range from WedMeGood Bangalore listings, used only to show scale — conference catering is quoted separately. Fee range from AAFT. Your real number depends on dates, menus and the production rider.
How much do event management companies charge?
Three models are common. A percentage of the event budget, often quoted as 10–20% (AAFT, Event Collective NZ; a generic benchmark, not India-specific). A fixed project fee agreed against a defined scope. Or a retainer for companies that run several events a year.
Whatever the model, ask for the fee as its own line. That is how you compare two quotes fairly, and how you see whether vendor costs have been marked up on top of the fee. A corporate event planner’s cost is only meaningful next to the scope it covers: venue sourcing, production design, show-calling, travel and reconciliation are all work, and a low fee often means one of them is missing.
What drives corporate event costs up
- Peak season. In Goa, November–February is the best-weather window and the most expensive (season guide); Christmas and New Year add holiday pricing.
- Flights. For Goa and Kerala, group air fares are a full budget line of their own. No published reference covers them, so get them quoted early.
- Premium food and bar. In the example above, moving from ₹1,500 to ₹5,000 a plate adds ₹35 lakh for one lunch.
- Late changes. Headcount or creative changes cost more the closer they come to show day.
- The wrong room. Banquet seating is usually 55–70% of theatre capacity; a dinner that outgrows its hall forces a second, bigger space.
- Outdoor late programmes. Loudspeakers in open areas stop at 10 pm, so a late party needs an indoor space as well as the lawn.
How to cut cost without it showing
Leadership notices sound, light, the emcee and the food. Nobody photographs the coach schedule. Spend accordingly.
- Fix headcount early, and agree an attrition allowance with the hotel.
- Lock the run-of-show early. Agreeing it early saves more than any negotiation.
- Move off the peak week. A shoulder week in Goa or a non-holiday week anywhere frees up rooms and rates.
- Ask for the venue charge to be waived against a food or room-block minimum.
- Use one stage twice. Design the conference set so it turns into the gala stage overnight.
- Choose fewer, better courses. A tighter menu at a higher standard reads as more premium, not less.
- Split the format. Run the full business meet in Bangalore and reserve Goa or Kerala for the top tier.
