The short answer

How to build a corporate event budget

Build a corporate event budget line by line: rooms × nights, plus per-plate × meals × headcount, plus venue per day, production, travel, entertainment, the agency fee and a contingency, with GST shown on every line. Start from headcount and format, get a quote for each line, and approve totals with tax included.

BIEC figures are the official 2025–26 rate card (plus taxes). Per-plate figures are banquet listings used only to show scale. Production is the line that most often decides the final number.

Where budgets break

Event budget mistakes to avoid

  • No tax on the approved number. Finance approves ₹20 lakh; the invoice says ₹23.6 lakh.
  • Headcount fixed too late. Per-plate and room minimums mean fewer guests can cost the same.
  • Production as a guess. Get it quoted from a technical rider before the budget is approved.
  • No contingency. Without a line for it, every surprise becomes a new approval.
  • The wrong room. Banquet seating is usually 55–70% of theatre capacity; a dinner that outgrows its hall forces a second space.
  • Changes without prices. Ask for every change to be priced in writing before it is approved.
FAQ

Questions people ask before they book

What should be included in a corporate event budget?
Rooms, food and beverage, venue, production, travel, entertainment, the agency fee, a contingency and GST. Each line should show how it was calculated and who quoted it, so finance can check it and you can defend it when a number moves.
How much contingency should an event budget have?
There is no fixed rule. One US guide suggests 10–20% of the total budget (DesignRush); a repeat event at a known venue needs less than a new format in a new place. Agree the figure with finance up front.
How do I create a budget for a corporate event with 500 attendees?
Multiply per-plate cost by meals and headcount, add venue rent, production, travel, fee and contingency, then GST. The worked example above shows a one-day Bangalore conference at about ₹13–26 lakh before production, built from published prices. Production is quoted separately from the technical rider.
What is the biggest cost in a corporate event?
Usually food and rooms for overnight events, and production for one-day shows with a big stage. In the example above, moving from ₹1,500 to ₹3,000 a plate adds ₹7.5 lakh for one lunch — more than the venue costs for the day.
We have ₹25 lakh for a 300-person offsite near Bangalore. Is that realistic?
For one night at a mid-market resort, yes. Overnight packages near Bangalore are listed at about ₹4,500–10,000 per person per night with stay, meeting room and dinner (TrekGo, Aug 2026) — ₹13.5–30 lakh for 300 people before production and fee. See offsites near Bangalore.
Is there a corporate event budget template I can use?
Use the nine-line table on this page: rooms, food, venue, production, travel, entertainment, fee, contingency and GST. Write “nil” rather than leaving a line blank. Send us your headcount, city and month and we return an itemised estimate in the same structure.
