Celebrity booking for corporate eventsThe headliner is announced. Now the contract has to hold.
Singers, bands, comedians and celebrity guests for annual days, product launches and award nights in Bangalore, Goa and Kerala — booked through the artist’s official management, with every cost on paper before you announce a name.
How do you book a celebrity or artist for a corporate event?
Book a celebrity or artist through their official management or a licensed agency: send the date, city, venue, audience and set length; get a written quote; agree the technical and hospitality rider; sign a contract with advance, balance and cancellation terms; then plan travel, stay, security and GST. The fee is only one line of the cost.
Once the name is on the invitation, the booking is your reputation. A quote that quietly excluded the musicians, or a rider that arrives in show week and doubles the sound bill, becomes a conversation with your CFO. We book through the artist’s official management or a licensed agency, never through a chain of middlemen, and we put the artist’s fee, their team’s travel and the rider costs on separate lines so you know the real number before you commit.
Artist bookings rarely fail on stage. They fail in the fine print.
- The “manager” was not the manager.Popular names pass through several intermediaries, and each adds a margin — or takes an advance and goes quiet. We deal only with official management or a licensed agency, and pay against a signed contract.
- The fee did not include the band.A singer’s quote can exclude musicians, the sound engineer, flights and rooms. We get a written quote that says what the fee covers and what it does not.
- The rider arrives a week before the show.Monitors, backline, a specific console, a green room list. A late rider can break the production budget. We ask for both riders before you sign.
- The set was 45 minutes. The slot was 90.Set length, encores, a meet-and-greet and photos are negotiated separately. We write each one into the contract so there is no argument at 9 pm.

Artist booking for events, step by step
For a well-known act on a peak-season weekend, start eight to twelve weeks out. Popular artists get booked months ahead (StarClinch singer price guide, Nov 2025), so a shortlist of two or three names saves the date.
1 · The brief
Date, city, venue, headcount, audience mix and languages, the slot in your running order and a budget band. We turn it into the enquiry management actually needs.
2 · Availability and written quote
Management confirms the date and quotes in writing: fee, set length, team size, travel class and rooms the team expects, and what is excluded.
3 · Rider review
The technical rider (sound, backline, monitors, stage, light) and the hospitality rider (green room, food, rooms). We price the gap against what the venue already has.
4 · Contract and advance
The contract sets the advance, the balance date, cancellation and reschedule clauses and the technical rider (StarClinch celebrity booking guide, Oct 2025). Only after it is signed and the advance paid do you announce the name.
5 · Travel and hospitality
Flights, airport pickups, rooms and ground transport for the artist, musicians and crew, booked to the rider and confirmed in one itinerary.
6 · Show week
Reconfirm everything 48–72 hours before the show, brief security on arrival and stage access, lock the meet-and-greet list and the sound-check slot.
7 · Show night and after
Show caller brings the act on cue, the set runs to the contracted length, the balance is settled as agreed and GST invoices go to your finance team.
Artist booking price list: listed ranges in India
There is no official rate card for artists. These are national ranges published by one booking platform. Real quotes depend on the act, the date and the city, and we always get yours in writing from management.
| Type of act | Listed range per event (approx.) | Typical corporate use |
|---|---|---|
| Local or college-circuit singer | ₹7,000–20,000 | Welcome drinks, small team parties |
| Professional event vocalist | ₹25,000–75,000 | Award-night dinner sets, cocktail evenings |
| Fusion or folk artist | ₹20,000–1,50,000 | Openings, Diwali nights, cultural segments |
| Playback or reality-show singer | ₹75,000–5,00,000 | Annual day headline for mid-size companies |
| Celebrity singer | ₹1,00,000–15,00,000+ | Annual days, dealer meets, launches |
| TV personality (appearance) | ₹2–5 lakh | Launch guest, award presenter |
| Top film star (appearance) | ₹25 lakh–₹1 crore+ | Flagship launches and large partner events |
Ranges as published by a booking platform, not invoices: StarClinch singer price guide, Nov 2025; StarClinch celebrity booking guide, Oct 2025. For outstation bookings, travel, 3–5 star rooms, meals and local transfers are usually over and above the performance fee. GST is extra.
Why two quotes for the same artist can differ
The headline number moves with a handful of predictable things. Knowing them is how you negotiate without risking the date. For choosing the act itself, see corporate entertainment ideas.
| Driver | What changes the price | How we handle it |
|---|---|---|
| Date | Friday and Saturday nights, December and the October–February season, and New Year’s Eve cost more | Offer two dates or a weekday where you can |
| Set length | A 45-minute set costs less than a full evening; encores and extra sets are extra | Fix minutes and number of sets in the contract |
| Team size | A solo track act, a four-piece and a twelve-piece band are different bookings | Quote states musicians, crew and who travels |
| Travel | Flights, rooms and transfers for the whole team; Goa and Kerala add a sector | Itemised so you see fee and travel separately |
| Rider | Sound, backline, monitors, lights and green room the venue does not already have | Priced against the venue before signing |
| Rights | Recording, streaming, social media use, or any endorsement of your brand | Agreed in writing; endorsement is a separate deal |
What a headline act really costs your event
A headline booking has eight to ten cost lines. We show every one, so the number your leadership approves is the number you pay.
- Artist fee — for the contracted set and team, from management’s written quote
- Musicians and crew — if not included in the fee
- Travel and rooms — flights, airport transfers, hotel rooms and meals for the touring party
- Technical rider gap — sound, backline, monitors, extra lights or LED content beyond the event’s own production
- Hospitality rider — green room, food and drinks, dressing room
- Security and stage access — escorts, a controlled route from car to green room to stage
- Music licences — where applicable; see music licences for events
- GST — services of performing artists are taxed at 18%; a performance in folk or classical music, dance or theatre is exempt when the fee is not more than ₹1,50,000, and the exemption does not apply to brand-ambassador work (GST on artists (entries 34 and 78); Taxmann). Rules change; your finance team confirms the current position.
- Our fee — shown as its own line, never hidden inside the artist cost
