The short answer

What does an event production company do?

An event production company designs and runs the technical show: stage and set, LED walls and playback, sound, lighting, cameras and streaming, power, and the show caller who fires every cue. It turns your agenda into drawings, a cue sheet and a rehearsal, and it carries the responsibility when something on stage fails.

Most people start by searching for equipment — an LED wall on rent, a sound and light rental, a stage setup company. Shows rarely break on the kit. They break at the joins: the cable between a presenter’s laptop and the LED processor, the microphone that has to feed the room and the livestream at once, the lighting cue that waits for a walk-on nobody called. A production company owns those joins. In Bangalore that starts early, because big rooms often come bare: BIEC’s convention halls are rented with AC and general lights only, and its rate card says carpets, furniture, sound, special lighting and stages are arranged by the organiser (BIEC rate card).

What keeps event owners up at night

Shows rarely fail inside one vendor’s kit. They fail between two of them.

  • The laptop won’t talk to the LED wall. The presenter brings a machine with the wrong output, and the LED vendor blames the AV vendor’s cable. We run all content from one playback desk and test every presenter machine at rehearsal.
  • The livestream has no sound. The room mix and the stream mix are different jobs. Someone has to own the feed from the sound desk to the encoder. That is us.
  • The power trips at the CEO’s walk-on.LED, moving lights and sound share a supply badly if nobody adds up the loads. We total them from the spec sheets and agree the supply with the venue before load-in.
  • Nobody is calling the show.Without a show caller, the lighting, video and sound operators and the emcee each guess. One person on headset gives every “standby” and every “go”.

What we take off your plate

One production team, from first drawing to de-rig

  • Technical recce with the venue engineer: power, rigging points, load-in route, clear height
  • Stage, set and LED drawn to scale, with sightlines checked from the back row
  • Sound designed for speech first: mics, speakers, delays and a separate mix for stream and recording
  • Lighting for faces and cameras first, then for mood
  • Playback and show control from one desk, with locked decks and a mirrored backup machine
  • Cameras, image magnification (IMAG) and live streaming
  • Power plan and backup generator agreed with the venue
  • Show caller, cue sheet, technical rehearsal and a cue-to-cue run with presenters
Who you are really hiring

Equipment rental, AV company or event production company?

All three can put an LED wall in your ballroom. The difference is who owns the result when the pieces have to work together.

Pani Productions works in the last two rows: production on its own when you already have a venue and an agency, or production inside full corporate event management in Bangalore.

Timeline

How a production comes together: T–8 weeks to show day

For a 300–1,000 guest annual day or conference. Smaller shows compress the middle, never the rehearsal.

  1. T–8 weeks

Brief, agenda skeleton and venue. Technical recce with the venue engineer: power, rigging, load-in, clear height to the lowest chandelier.

  2. T–6 weeks

Stage, LED and seating drawn to scale. Sightlines checked from the back and side seats. Production quote locked against the drawing.

  3. T–4 weeks

Content templates issued at the exact LED resolution. Mic plan per segment. Streaming platform and privacy agreed.

  4. T–2 weeks

Run-of-show v2 and cue sheet. Power load signed off with the venue. Walk-in music, stings and videos collected.

  5. T–3 days

Final decks due. Anything later goes through the show caller, not straight onto the playback laptop.

  6. T–1 day

Load-in and build, line check, technical rehearsal, then a cue-to-cue run with every presenter who can attend.

  7. Show day

Sound check at call time, doors, first cue. One show caller on headset. De-rig runs to the venue’s exit slot.

Working numbers

Four numbers worth knowing before you call any vendor

  • About 1 m of distance per 1 mm of pixel pitch. That is the usual minimum viewing distance for an LED wall, so a P3.9 wall wants the front row roughly 4 m away (Christie).
  • Up to 800 W per square metre. One indoor rental LED panel lists a maximum draw of 800 W/m² and an average of 200–300 W/m² (indoor P3.91 panel spec sheet). A 45 m² wall can pull about 36 kW at full white.
  • Bare halls mean you bring everything. BIEC’s convention hall rates cover AC and general lights; sound, special lighting and stages are on the organiser, and its stage set-up line is ₹75 per sq ft (BIEC rate card, April 2025–March 2026).
  • 10 pm outdoors. Loudspeakers need written permission and cannot be used outdoors between 10 pm and 6 am; closed premises are exempt. At the boundary of a public place, noise must stay within 10 dB(A) above the area’s standard or 75 dB(A), whichever is lower (Noise Pollution Rules, 2000).
Method

How a Pani Productions event runs

  1. Brief & ballpark

A 30-minute call with your event owner. You get a format, venue shortlist and an itemised cost range you can take upstairs.

  2. Venue & concept

We check dates, layouts and rooms with venues, run a site recce, and build the creative: theme, stage, content flow.

  3. Production plan

Stage, LED, sound and light specified and drawn. Delegate logistics, rooming lists, transfers and F&B locked to a master timeline.

  4. Rehearsals

Technical rehearsal and a cue-to-cue run with presenters. Backup power, spare mics and playback files ready before doors open.

  5. Show day

One show caller on headset runs every cue. Your team hosts; nobody from your side should have to carry a radio.

  6. Close-out

Reconciled invoice against the estimate, vendor settlement, photos and a short debrief on what to repeat next year.

FAQ

Questions people ask before they book

What is event production?
Event production is the technical side of an event: stage and set, LED and video, sound, lighting, cameras and streaming, power and show control. It covers the design, the drawings, the hire, the crew, the rehearsals and the person who calls every cue on the day.
What is the difference between an event production company and an event management company?
An event production company owns the technical show. An event management company also owns the venue, delegates, food and beverage, travel and hospitality. Many companies hire both; we can do either. Read what an event management company does.
How much does an event production company cost in Bangalore?
It is the sum of separate lines: stage, LED, sound, light, cameras, power, crew days and the production fee. Published figures vary widely — one listing puts an 8 × 5 ft indoor LED wall at ₹15,000–25,000 a day with set-up (Pixelspot rental page), and BIEC lists stage set-up at ₹75 per sq ft (BIEC rate card). We quote each line separately.
Do we need a production company if the hotel has in-house AV?
For a small meeting, in-house AV is often enough. Once you have a stage show, LED content, several presenters, awards, a band or a livestream, someone has to integrate the hotel kit with outside suppliers and call the show. That is the production role, and we work alongside hotel AV teams.
What is a show caller?
The one person on headset who runs the event from the cue sheet. They give “standby” and “go” to sound, light, video and stage crew, cue the emcee and presenters, and decide what moves when a segment overruns. Without one, every operator guesses.
What should go into a technical rider for a corporate event?
Stage size and height, LED and screen spec, sound and microphone list, lighting plan, power needs, load-in times, crew calls and rehearsal slots. Artists send their own rider; we merge it into the event’s. See what a technical rider is.
Do you handle event production in Goa and Kerala?
Yes. For Goa resorts and Kochi, Kumarakom or Kovalam venues we price two options — local rental suppliers, or kit and crew moved from Bangalore — and recommend one on spec, cost and risk. We do not take events in other Indian cities.
How early should we book production for an annual day?
Six to eight weeks is comfortable for a 300–1,000 guest show, and earlier for Friday and Saturday dates in the October–February season, when good crews and large LED inventories are in demand. The drawing and the recce need to happen before the quote is real.
