The short answer

How corporate event planners charge

Event managers charge in one of five ways: a percentage of the event budget, commonly quoted as 10–20%; a fixed project fee for a defined scope; an hourly or daily rate for advisory work; a retainer for a calendar of events; or a mark-up hidden in vendor lines. Ask for the fee as its own line, with GST.

How we price

Our fee is always its own line

  • Itemised estimate: venue, food, production, travel and our fee separately
  • Tax shown on every total you are asked to approve
  • Every change priced in writing before it is made
  • Reconciled invoice against the estimate at close-out
Fee models

How much do event management companies charge?

Every model below is legitimate. What is not legitimate is a fee you cannot see.

ModelHow it worksPublished referenceBest for
Percentage of budgetFee is a share of the total event spendCommonly quoted as 10–20% of the event budget (AAFT, 2026; Entrepreneur India); a US guide gives the same 10–20% (DesignRush, Dec 2025)Large events where scope grows with budget
Fixed project feeOne agreed fee for a defined scopeDescribed as the most common structure for corporate event planning in a US guide (DesignRush, Dec 2025)Corporate events with a clear brief
Hourly or daily rateBilled for time spentUsually for smaller engagements, consulting or partial support (DesignRush, Dec 2025)Advisory work, on-site support only
RetainerMonthly or annual fee for a calendar of eventsNo published Indian benchmarkCompanies running several events a year
Mark-up on vendorsNo separate fee; margin built into each vendor lineNo published benchmarkAvoid unless the mark-up is disclosed

Percentages are industry commentary, not an India survey; we found no audited Indian benchmark. Last checked October 2026.

Worked example

What a percentage fee looks like in rupees

The same event at two fee levels. The fee is not the big number — but it is the one you can compare.

Arithmetic illustration, not a quote. How a percentage fee scales on a ₹40 lakh event.
LineAt 10%At 15%
Event spend (venue, food, production, travel)₹40,00,000₹40,00,000
Agency fee₹4,00,000₹6,00,000
GST at 18% on the fee₹72,000₹1,08,000
Fee including GST₹4,72,000₹7,08,000

Vendor lines carry their own GST. See GST on event management services.

What changes the answer

Why fees differ between agencies

  • Scope. Venue sourcing, production design, show-calling, travel desk and reconciliation are all work. A low fee often means one of them is missing.
  • Complexity, not headcount. A 60-person leadership offsite in Kabini with custom facilitation can take as much producing as a 600-person dinner in a city ballroom.
  • Destination. Goa and Kerala add flights, room blocks and recce travel.
  • Lead time. Short runways need more people working in parallel.
  • Whether vendors are marked up. A visible fee plus vendors at cost can be cheaper than “no fee” with margin in every line.
FAQ

Questions people ask before they book

How much do corporate event planners charge in India?
There is no official benchmark. Indian industry commentary commonly quotes 10–20% of the event budget (AAFT, 2026; Entrepreneur India), and fixed project fees are also common. The fee only means something next to the scope it covers, so compare scope first.
Is 10% a fair event management fee?
It can be, if the scope is clear and vendor costs are not marked up as well. Compare the fee as a separate line across quotes for the same scope, and ask what is excluded — rehearsals, crew hours and travel are the usual gaps.
Do event management companies charge GST on their fee?
Yes, if they are GST-registered. Event management is generally taxed at 18% under SAC 998596, shown as CGST and SGST or as IGST depending on where you are registered. Ask for the SAC code on the invoice. See GST on event management services.
What is a corporate event planner’s cost for a small offsite?
For small events, fixed fees are more common than percentages, because a percentage of a small budget may not cover the work of sourcing, contracting and running it. Ask for a fixed fee against a written scope. See offsites near Bangalore.
We have a ₹60 lakh budget for a 700-person annual day in Bangalore. What fee should we expect?
At the commonly quoted 10–20%, the fee would be ₹6–12 lakh plus GST, but a fixed fee against a clear scope is equally common. Ask each agency for its fee as a separate line. See the corporate event cost guide.
Why would an agency say it charges no fee?
Usually because its margin is built into the vendor lines. That is not wrong in itself, but you cannot see it or compare it across quotes. Ask whether vendor prices are at cost or marked up, and by how much, before you treat “no fee” as cheaper.
