The short answer

What goes into a car launch event?

A car launch event combines a vehicle reveal, a media programme and often a dealer roll-out. It needs a venue that can physically take the car in, safety conditions agreed with the venue, a reveal built for cameras, a press and creator track, and for media drives a recced route, support vehicles and legally compliant pre-launch cars.

Vehicle launches are product launches with a weight problem. Before anyone talks about the reveal, someone has to measure the goods lift, the door, the ramp and the floor, and agree with the venue’s safety team what the car may carry indoors. We start there. The creative comes after we know the car can reach its mark — and leave it again before the next booking.

What keeps event owners up at night

The car is the star. Everything else has to stay out of its way.

  • The car does not fit through the door.Ballroom doors, lifts and ramps are smaller than they look. We measure the route from the kerb to the stage before the venue is confirmed.
  • The venue stops the move-in.Safety conditions surface on load-in day. We get the venue’s conditions for a vehicle indoors in writing, weeks ahead.
  • The reveal looks flat on camera.Paint and glass reflect every light. Lighting is designed for the car’s surfaces, and photographers get their angle and a warning.
  • A media drive car breaks down on a ghat road.Support vehicles, a technician and a spare car travel with the convoy, on a route we have driven ourselves.

Car launch formats

Four kinds of automobile launch event

Most national launches use two or three of these in sequence. Pick them in order of who needs to see the car first.

FormatWho it is forWhereWhat matters most
Media revealNational and regional auto press, creatorsHotel ballroom, studio, brand space or a hall inside an expo such as BIECThe reveal frame, embargo, interview slots, a car to sit in
Dealer launch eventDealer principals and sales teamsHotel ballroom or a resort, often alongside a dealer meetProduct training, pricing and schemes, an awards moment
Showroom launchCustomers and local pressEach dealership, often on the same dayA consistent launch kit and timing across showrooms
Media driveAuto journalists and creatorsA recced route around Bangalore, Goa or KeralaRoute, safety, support vehicles, photo points

BIEC lists five halls and 77,200 sq m of covered space (BIEC); motor shows and expos there let a brand reveal to the trade audience already in the building.

Getting a car into a ballroom

The vehicle move-in checklist

We walk this route with a tape measure. Brochure dimensions are not enough.

  • The whole route from the kerb to the stage mark: ramps, kerbs, door widths and heights, corners and any steps.
  • Goods lift internal dimensions and rated load, if the ballroom is not at ground level — and a written answer from the venue on whether a vehicle may use it.
  • Floor loading and protection for the ballroom floor and any carpet: boards, runners and drip trays.
  • Safety conditions the venue sets for a vehicle indoors — typically about fuel, the battery, keys and a fire extinguisher by the car. Get them in writing; they differ by venue.
  • Timing: the car moves in when the room is empty, usually at night, and moves out before the next booking.
  • Electric vehicles: confirm any separate conditions for high-voltage batteries with the manufacturer and the venue.
  • Stage strength for a drive-on stage or turntable, signed off by the fabricator.
  • Handling crew trained by the manufacturer, and a cleaning crew for fingerprints and dust before doors.
  • Security for the covered car overnight, and a no-photography rule for crew before the embargo.
Vehicle reveal ideas

Reveals that suit a car

For a wider list of reveal mechanics, see product launch events. These are the ones that work best with a vehicle.

Cover pull

A fitted cover drawn off by two people or by a rig. Simple, reliable, and familiar — so the light and the music carry the moment.

Turntable

The car turns slowly under fixed light, so every angle gets its moment and every photographer gets their shot.

Drive-on

The car drives onto the stage. Powerful, but it needs a clear path, marshals and the venue’s permission to run the engine or motor indoors.

Light reveal

The room goes dark and the car is found in light — strong for design-led launches, but warn photographers first.

Projection on the car

Content mapped onto a white or wrapped car before the paint is revealed. Needs a dark room and careful projector placement.

Outdoor arrival

At a resort or on a lawn, the car arrives through the guests. Plan sound to finish by 10 pm in open areas.

Media drive planning

How we plan a media drive

A media drive puts journalists behind the wheel before the reviews are written. Around Bangalore, the Bengaluru–Mysuru expressway (about 118 km, The Quint) and the climb towards Nandi Hills give highway and hill sections; Goa and the Kerala ghats give coastal and mountain routes.

  1. Route recce

We drive the route at the same hour and on the same weekday as the event: road works, traffic, fuel or charging, toilets, and safe stops.

  2. Legal and insurance

Pre-launch cars on public roads must be registered or run under a valid trade certificate; under the Central Motor Vehicles Rules, unregistered vehicles may be held only by a dealer, manufacturer or importer, or a test agency (SCC Online). Your legal and homologation team confirms the cars’ status; we confirm drivers’ licences and insurance.

  3. Convoy plan

Drive pairs, swap points, a lead car and a sweep car, a technician vehicle, a spare car and a medical kit.

  4. Photo and video points

Two or three locations cleared in advance where cars stop for photographs and creators shoot.

  5. Hospitality

A briefing breakfast, a lunch halt that can take the whole group and the cars, and a debrief with the product team.

  6. After the drive

Cars cleaned, checked and logged; high-resolution stills and b-roll sent to the media the same evening.

Dealer launch events

A launch kit for many showrooms on one day

When dozens of showrooms launch at once, consistency is the job.

  • A launch kit per showroom: branding, a cover, a backdrop, lighting, and a printed run of show
  • One launch time, a shared countdown film and a scripted welcome for the dealer principal
  • A remote briefing for every showroom team the week before, with a checklist they send back
  • Photographs from each showroom collected centrally for your social team and the dealer newsletter
Method

How a Pani Productions event runs

  1. Brief & ballpark

A 30-minute call with your event owner. You get a format, venue shortlist and an itemised cost range you can take upstairs.

  2. Venue & concept

We check dates, layouts and rooms with venues, run a site recce, and build the creative: theme, stage, content flow.

  3. Production plan

Stage, LED, sound and light specified and drawn. Delegate logistics, rooming lists, transfers and F&B locked to a master timeline.

  4. Rehearsals

Technical rehearsal and a cue-to-cue run with presenters. Backup power, spare mics and playback files ready before doors open.

  5. Show day

One show caller on headset runs every cue. Your team hosts; nobody from your side should have to carry a radio.

  6. Close-out

Reconciled invoice against the estimate, vendor settlement, photos and a short debrief on what to repeat next year.

FAQ

Questions people ask before they book

How do you get a car into a hotel ballroom?
We survey the whole route — kerb, doors, ramps, goods lift and floor — and get the venue’s written conditions for a vehicle indoors. The car usually moves in at night when the room is empty, on floor protection, with a trained handling crew.
Can we launch an electric vehicle indoors?
Usually, yes, but venues may set separate conditions for high-voltage batteries and charging. We agree them with the venue and your engineering team before the room is booked.
What is a media drive?
An organised drive where automotive journalists and creators test a new vehicle on a planned route, with briefings, photo stops and support vehicles. It is often the main source of first reviews.
We are launching a new SUV with 40 dealers across Karnataka and Kerala — can all showrooms launch on the same day?
Yes. We build a launch kit per showroom, brief every team remotely, fix one launch time and collect photographs centrally. A dealer launch event before the public date gets the sales teams ready.
Where can we hold a car launch in Bangalore?
A ground-floor hotel ballroom with vehicle access, a studio or brand space, or a hall at an expo venue such as BIEC. The deciding question is whether the car can physically reach the stage.
Can we do a car launch in Goa?
Yes — resort lawns and ballrooms in Goa work well for dealer launches and media drives along the coast. Amplified sound outdoors must stop by 10 pm. See corporate events in Goa.
