Roadshow managementFive cities, one show. The fifth must look like the first.
Dealer, customer and product roadshows that tour Bangalore, Mysore, Goa, Kochi and Kerala’s towns — one touring set, one crew lead, one run of show repeated until it is identical everywhere.
What does roadshow management involve?
Roadshow management means taking one event — a product showcase, dealer meet or customer evening — to several cities in sequence. It covers the route and dates, a venue in each city, a touring set that packs into one truck, travel and rooming for the crew and speakers, local suppliers, permits, guest invitations, and a run of show that stays identical at every stop.
We run roadshows inside the area we know road by road: Bangalore, Mysore, Goa, Kochi and the towns of Kerala. That is a deliberate limit. A roadshow fails on the gaps between stops — a truck that misses its load-in, a hotel that did not hold the ballroom, a local light supplier who sends the wrong kit — and those gaps are smallest where we already know the roads, the venues and the suppliers.
A roadshow is only as good as its worst stop.
- The set arrives after the guests.A long overnight drive and one breakdown wipe out the load-in. We plan truck timings with a buffer day where the distance is long.
- Stop three looks nothing like stop one.Different local suppliers bring different kit. A fixed technical spec and our own crew lead travel with the show.
- The regional sales head is not ready.Speakers change at every stop. Each one gets the same rehearsal and the same timed slot.
- Nobody knows which city worked.Attendance and leads counted differently at each venue. We use one registration and lead system across all stops.

One plan that travels, with local knowledge at each stop
- Route, dates and stop order planned around distance and load-in times
- Venue in each city held in writing, with layouts and access times
- A touring set, AV and branding kit designed to pack into one vehicle
- Local suppliers for power, staging extras and catering at each stop
- Crew, speaker and guest travel, rooming and transfers
- Invitations, RSVPs and one registration system across all cities
- A fixed run of show and rehearsal routine repeated at every stop
- Daily reports: attendance, leads and lessons for the next city
Distances between the stops we cover
Approximate road figures from the sources linked; real driving time depends on the route, the hour and the season. We plan the set by road and the people by road or air.
| Leg | Road distance (approx.) | How we usually move it |
|---|---|---|
| Bangalore → Mysore | The Bengaluru–Mysuru expressway is about 118 km | Road for people and set; a same-day move is possible |
| Bangalore → Kochi | About 540 km; flights about 1 hour to 1 hour 55 minutes | Set by road overnight with a buffer; people by air |
| Bangalore → Goa | About 570 km | Set by road with a buffer day; people by air |
| Kochi → other Kerala towns | Varies by town | Road; we time it around traffic and rain |

Which kind of roadshow are you running?

| Mall or public roadshow | Shoppers and families | Mall atrium or public space, weekend | Consumer launches; see brand activation |
| Investor or analyst roadshow | Investors, analysts, advisers | Private meeting rooms, small dinners | Results, listings and capital raises; see investor days |
| Employee or town-hall roadshow | Staff at regional offices | Office floors or nearby hotels | Leadership messages that must be heard in person |
Large rooms at each stop
A few anchor rooms per city, from the venues’ own pages or directories; confirmed for your layout before we quote.
| City | Venue | Listed space (approx.) |
|---|---|---|
| Bangalore | Taj Yeshwantpur | Aura ballroom 749 sq m, 800 theatre, divides in three |
| Mysore | Radisson Blu Plaza Mysore | Mehfil ballroom 470 sq m, about 500 theatre |
| Goa | Grand Hyatt Goa, Bambolim | Grand Ballroom about 1,150 sq m |

A five-stop roadshow over twelve days
Illustrative, not a fixed product. It assumes an evening dealer session at each stop and one touring set.
Days 1–2 · Bangalore
Build and full technical rehearsal; the first show doubles as the dress rehearsal for the tour.
Day 3 · Mysore
Short road move in the morning, load-in by afternoon, evening show.
Days 5–6 · Goa
Set travels by road with a buffer day; crew and speakers fly. Show on day 6.
Days 8–9 · Kochi
Set travels on; local power and catering confirmed in advance. Show on day 9.
Day 11 · Thiruvananthapuram or another Kerala town
Final show; dismantle the same night.
Day 12 · Wrap
Set returns; one consolidated report on attendance, leads and spend per stop.
What organisers typically need on a roadshow
Rules change; we confirm current requirements with the authority for each city and date.
- Tourist vehicles across state lines. Coaches and cars that carry guests between Karnataka, Goa and Kerala need the right permit. The All India Tourist Vehicles (Permit) Rules, 2023 came into force on 1 May 2023 and allow a tourist vehicle operator’s vehicle, with the permit, to carry tourists across India (SCC Online). We hire from operators who hold it.
- Branded vehicles and street activity. A branded truck, a stage on a vehicle or anything that stops in a public place needs local permission — from the city corporation, the traffic police or both. We apply city by city.
- Malls and private venues have their own approvals, timings and fees, in writing.
- Music and sound. Loudspeakers in open areas are restricted from 10 pm to 6 am under India’s Noise Pollution Rules (Noise Pollution Rules summary). Evening roadshow sessions in hotel ballrooms avoid the problem.
- Goods movement. The touring set moves with the right invoices and e-way bill paperwork from the supplier or transporter.
