Medical & pharma conference organisersA room full of doctors. A code that reads every line. Get both right.
CMEs, pharma scientific meets and doctors’ association conferences in Bangalore, Goa and Kerala — run on time for a clinical audience, and planned around the marketing code your compliance team will audit.
What does a medical conference organiser handle in India?
A medical conference organiser runs the scientific programme and the delegate journey — parallel halls, faculty travel, posters, attendance records for CME credit points and catering — and, for pharma-funded meetings, plans every line around the Uniform Code for Pharmaceutical Marketing Practices 2024: events held in India, no delegate travel or hospitality, and records your compliance team can disclose.
Doctors give you an evening after a full clinic, and they notice when a session starts late or the sponsor’s branding outweighs the science. Pharma medical-affairs and compliance teams carry a second worry: every hotel night, meal and memento may end up in a disclosure. We plan for both audiences from the first draft of the budget. We are event producers, not lawyers: your compliance team decides, and we keep the paperwork that proves the event matched.
The science can be perfect. The audit finds the dinner.
- A delegate’s hotel night lands in the wrong budget.UCPMP 2024 bars companies from giving healthcare professionals travel or hotel stays unless they are speakers. We keep speaker and delegate logistics on separate, labelled lines.
- The credit points never reach the certificates. If attendance is not captured session by session, doctors cannot claim points. We scan badges at hall entry and reconcile before certificates are printed.
- Hall 2 overruns and the panel loses its audience.Parallel scientific sessions need a chairperson’s clock and a stage manager in every hall, not just the main one.
- The poster area is a corridor.Posters need lit boards, numbered positions, a judging schedule and a time in the programme when people actually walk past them.

Everything from faculty confirmations to the disclosure file
- Scientific programme grid: plenary, parallel halls, workshops and chairperson timings
- Faculty management: invitations, travel and stay for speakers only, presentation collection and a preview room
- Abstract and poster logistics: numbered boards, e-poster screens, judging slots
- Registration with council registration numbers where your accreditation requires it, and session-wise attendance scans
- Itemised costs by beneficiary (speaker, delegate, venue, production) so the sponsor’s disclosure is easy to prepare
- Certificates, feedback and a closing report with attendance and expenditure
What the Uniform Code for Pharmaceutical Marketing Practices 2024 means for a CME
The Department of Pharmaceuticals notified UCPMP 2024 on 12 March 2024, replacing the 2015 code; reporting describes it as voluntary, with complaints heard by ethics committees in the pharma associations (ThePrint). Clause references below are from the code’s text (UCPMP 2024 text).
| What the code says | What it means for the event plan |
|---|---|
| 6.1 — CME, CPD, conferences, seminars and workshops only through a “well-defined, transparent, and verifiable set of guidelines” | Your written CME policy drives the brief; we keep the records it asks for. |
| 6.2(i) — “Conduct of such events in foreign locations is prohibited” | Pharma-supported CMEs and conferences stay in India. Goa and Kerala are the destination options in our service area. |
| 6.2(ii) — CME/CPD may be run by medical colleges, hospitals, professional associations, research institutions, and pharma companies alone or with them | We work for the conducting body, named as organiser of record on every document. |
| 6.2(iii)–(iv) — companies share event details and expenditure on their website; organisers state how participants and speakers were selected and display funding sources and expenditure | We itemise costs by line for the disclosure and file the selection criteria you approve. |
| 8.2–8.3 — no travel or hospitality (hotel stay, expensive cuisine, resort accommodation) to healthcare professionals or their families unless they are speakers for a CME or CPD programme | Speaker travel and rooms are planned; delegate travel and stays are not booked on the company’s account. |
| 8.1 and 8.4 — no gifts for personal benefit and no cash or monetary grants; 5.1(i) allows informational or educational items up to ₹1,000 per item | Delegate kits hold programme books, guidelines or other educational items within the limit — no personal gifts. |

Medical council ethics and CME credit points
The rules bind doctors too. The Indian Medical Council (Professional Conduct, Etiquette and Ethics) Regulations, 2002 — clause 6.8.1, added in 2009 — say a medical practitioner shall not accept gifts, travel facilities for attending conferences, seminars, workshops or CME programmes “as a delegate”, individual hospitality, or cash grants from the pharmaceutical and allied health industry (IMC Regulations, 2009 amendment). The National Medical Commission put its 2023 professional-conduct regulations in abeyance on 23 August 2023 and kept the 2002 regulations in force (Medical Dialogues); UCPMP itself says the 2002 code prevails where it is silent (UCPMP 2024 text).
Doctors also care about credit points. The Karnataka Medical Council links renewal of registration to CME credit points (Medical Dialogues), and for events in Goa or Kerala we check the scheme of the council where the event is held. The conducting body applies to the relevant council for accreditation before the event; the council decides the points, and they are printed on attendance certificates. Allow time for that application in the plan — we confirm the current process and timelines with the council for your dates. Rules change; we confirm current requirements with the authority for your date.
CME, symposium or conference: which format fits
Size the format to the learning goal and the doctors’ time, then pick the room.
| Format | Typical shape | What it needs |
|---|---|---|
| Evening CME | 40–150 doctors, 2–3 hours after clinic hours | Hotel meeting room or institute hall near the hospitals you are inviting; a tight 2-talk-plus-discussion agenda; a working dinner |
| Half-day or one-day symposium | 100–400 delegates, single hall | Plenary hall with good projection for imaging and video; a chairperson per session; a small trade area |
| State or national association conference | 500–2,000+ delegates over 2–3 days | Plenary plus 2–5 parallel halls, posters, workshops, trade exhibition; convention centre or large hotel |
Medical conference venues in Bangalore, Goa and Kerala
Choose the room for the science first: projection that renders a scan clearly, and halls close enough to change between in a coffee break.
Bangalore institutional
NIMHANS Convention Centre on Hosur Road sits on a medical campus with three ground-floor halls and a first floor suited to posters (PyCon India 2024).
Bangalore hotels
For evening CMEs and symposia, see seminar halls and meeting rooms and conference venues for listed capacities.
