The short answer

Agency or in-house: the short answer

Run small, repeat, local events in-house — team lunches, trainings, small town halls. Hire an event management company when the event is large, travels, has leadership on stage or carries public risk: conferences, annual days, dealer meets, launches and offsites. The fee usually costs less than the staff time and vendor mistakes it replaces.

How we help

Use us for the events where your name is on stage

  • Full event management, or production and show-calling only
  • Per-event or retainer for an annual calendar
  • Your team keeps content, guest lists and approvals
  • Fee shown as its own line on every estimate
Side by side

In-house vs event management company

The fee is the visible cost. Staff time, retail vendor rates and show-day risk are the ones nobody budgets.

The hybrid model

Why outsource corporate events — but not all of them

Most companies with an events calendar end up splitting the work.

  • Keep in-house: the calendar, internal communication, guest lists, content and approvals.
  • Outsource per event: the two or three a year with leadership on stage or a travel component.
  • Outsource on retainer: if you run more than four or five sizeable events a year, a retainer gives you one team that knows your brand, approvals and vendors.
  • Outsource just the show: for an event your team can plan but not produce, hire production and show-calling only.
Worked example

A 300-person annual day, both ways

Same event, two ways of running it.

In-house: an admin lead books a hotel ballroom, an AV vendor, a décor vendor, an emcee, a photographer and coaches — six contracts, six invoices, six people to chase. On the day she is backstage solving a microphone problem while the CEO is on stage. Nobody budgeted her six weeks.

With an event company: one estimate covers every line, a production manager owns the rider and backups, a show caller runs the cue sheet, and the admin lead sits with leadership. The fee is visible; most of the risk moves to the contract.

What changes the answer: if your team has run the same event at the same venue for years with the same vendors, in-house may be the right call. If anything is new — venue, city, size or format — the learning curve is where in-house events go wrong.

FAQ

Questions people ask before they book

Why hire an event management company?
To move workload and risk off your team. One company manages every vendor, owns backups and rehearsals, and runs the show so your team can host leadership and guests. For large or high-visibility events that is usually worth more than the fee, because a public failure costs more than any invoice.
Is it cheaper to plan a corporate event yourself?
The invoice can be lower, but the total cost often is not: staff weeks, retail vendor rates, missing backups and late changes add up. Compare the agency fee against the staff time and risk it replaces, not against zero, and include the cost of your team not doing their real jobs.
When should we not hire an event company?
For small, repeat, local events your team already runs well — a 30-person team lunch, a monthly training, an office town hall with the same AV every time. Spend the fee where the risk is: new venues, travel, large audiences and leadership on stage.
We are a 2,000-person company with a two-person events team. Agency or in-house for our SKO in Goa?
Agency, or at least outsourced production and travel. A Goa SKO adds flights, room blocks, a 10 pm outdoor loudspeaker cut-off and peak-season pricing. Your team should own content, the sales agenda and the awards list. See sales kickoff events.
Can an event company work with our existing vendors?
Usually, yes. If you have a preferred hotel, AV house or photographer, a good company folds them into the plan and the run-of-show, and says clearly where its accountability starts and stops. Put that split in writing so nobody assumes someone else has the backup.
What does a retainer with an event company look like?
A fixed monthly or annual fee for a set number of events or hours, with vendor costs quoted per event. It suits companies with a regular calendar of town halls, offsites and launches, because one team learns your brand and approvals. See event manager fees.
