The short answer

How to get people to show up

Increase attendance by making the event easy to say yes to and hard to forget: fix the date early and send a save-the-date, give a concrete reason to come, have managers invite personally, pick timing and a location that respect commutes, confirm through RSVP and reminders, and remove friction — transport, parking and a sensible finish time.

How we help

We plan the journey as carefully as the show

  • Registration and reminders built with your HR or sales team
  • Coaches from office clusters and airport pickups
  • Start times planned around Bangalore traffic
  • Live attendance list on the day
Checklist

How to improve event attendance, phase by phase

Attendance is decided weeks before the event, not on the day.

  • When the venue is contracted: calendar invite and save-the-date with date, place and one line on why it matters.
  • With the invitation: the agenda, named speakers, the awards or the scheme — something specific to look forward to.
  • Managers in the loop: give line managers or regional heads the list of their people and ask them to nudge.
  • Registration: two minutes, phone-friendly, with dietary and travel questions only if needed.
  • Reminders: a week before and the day before, each with one new piece of information — the transport plan, the menu, the dress code.
  • Non-responders: a personal message or call, not a fourth mass email.
  • On the day: a start time people can actually make, and the most valued segment early enough that no one leaves before it.

What changes the answer

Bangalore traffic, timing and the 10 pm line

In Bangalore, the commute is the biggest attendance risk. A 6:30 pm start at a central hotel asks people in Whitefield, Electronic City and Sarjapur to cross the city at peak hour. Run coaches from office clusters, pick a venue near where most people work, or start later and run indoors — outdoor loudspeakers in open areas stop at 10 pm under the Noise Pollution Rules (Noise Pollution Rules summary).

For destination events in Goa or Kerala, attendance is decided at the flight booking. Collect travel details with registration and book group fares early. For families, a weekend daytime family day gets a different turnout from a weeknight dinner.

FAQ

Questions people ask before they book

Why do people register for events and not turn up?
Usually because nothing reminded them why it mattered, the commute looked worse on the day, or a work deadline won. Reminders that carry new information, a transport plan and a nudge from their own manager address all three better than another mass email.
How do you encourage employees to attend company events?
Give them a reason — awards, leadership, entertainment, families welcome — let managers invite personally, make getting there easy with coaches or a nearby venue, and finish at a time that works for people with families and long commutes. Announce the programme early, too.
How do I increase conference attendance?
Publish named speakers and a clear agenda early, have account managers invite personally, keep registration to two minutes, and send reminders with practical details. For paid conferences, an early-bird deadline creates urgency; for invitation-only ones, a personal confirmation call works.
We are a 1,200-person company in Whitefield. Why did only half come to last year’s annual day?
Check four things: the venue’s distance from your office in peak traffic, the start time, whether managers promoted it, and whether the programme was announced. A venue near the IT corridor with coaches often fixes most of it. See annual day management.
When should event reminders be sent?
A week before and the day before, each with something useful — transport, parking, dress code, the menu. A same-morning message helps for evening events, and a personal message to anyone who has not confirmed works better than a third reminder to everyone.
Do incentives increase attendance at internal events?
Recognition usually does more than prizes. Announcing awards, inviting families or giving teams a role in the programme gives people a reason to be in the room, and people rarely miss an evening where a colleague is being recognised on stage.
