Town hall event managementWhen the CEO speaks to everyone, everyone should hear it.
Town halls and all-hands meetings for one room or forty locations. We produce the stage, the stream, the Q&A and the clock — so the message lands the same in the ballroom, at home and in every other office.
What is a town hall event in a company?
A company town hall is a meeting where leadership speaks to all employees at once — sharing results, strategy and changes — and then takes open questions. Most run 60–90 minutes, in a room, online or hybrid. What makes one work is a tight agenda, honest Q&A with a moderator, and sound and stream that every attendee can follow.
A town hall is judged on one thing: did people believe it?
- The stream fails on the big announcement.Thirty offices see a spinning wheel while the room hears the news. We run an encoder with a backup connection and a tested dry run.
- Remote people are second-class.Their questions never get read. We merge room and remote Q&A in one queue, read by a moderator.
- Q&A gets five minutes.Updates overrun and the questions people came for are cut. The run-of-show protects the Q&A slot.
- The mic dies on the hard question.A CEO’s pause while someone finds a battery looks like evasion. Spare mics, fresh batteries, a sound engineer on the desk.

One message. Every room, every screen.
- Venue or office set-up for the room: stage, screens, sightlines and roving mics
- Multi-camera capture and streaming into Teams, Zoom or a private platform
- Q&A design: pre-submitted, upvoted, anonymous options and a moderator
- Speaker prep, slide control by our operator and confidence monitors
- Hub sites in other offices with local screens and a local host
- Live captions or interpretation where needed
- Recording, transcript and a short highlights cut the same day
In-room, hybrid or multi-office: choosing your town hall format
| Format | Best for | What it needs |
|---|---|---|
| In-room town hall | One office or campus, up to a few thousand people | A hall or ballroom, stage, two or more screens, handheld and roving mics, Q&A moderation |
| Hybrid town hall | A main room plus people at home and in other offices | Multi-camera capture, an encoder into Teams, Zoom or a private stream, remote Q&A merged with the room |
| Hub-and-spoke | Several offices each gathering in a room | A produced stream, a local host and screens at each site, a shared Q&A channel |
| Virtual all-hands | Fully remote teams | A studio set or a well-lit office, a producer running the show, captions and a recording |
What is a town hall event in Teams, and how many people can join?
If your company already runs Microsoft Teams or Zoom, the platform is decided. The size of the audience then decides how interactive the town hall can be.
| Teams Enterprise event size | What attendees can do | Implication |
|---|---|---|
| Up to 1,000 | Microphone and camera, interactive chat, reactions, raise hand, polls, Q&A | Feels like a meeting — good for a smaller all-hands with open discussion |
| Up to 3,000 | Large-event chat, reactions, raise hand, polls, Q&A | Moderated chat and Q&A carry the interaction |
| Up to 10,000 | View-only, with Q&A | Broadcast mode: a slight delay, no attendee cameras or mics |
| Up to 100,000 | With an Attendee Capacity Pack add-on licence | Microsoft recommends its Teams Events Services above 20,000 |
Microsoft Learn (updated 2026). Without an enterprise content delivery network, Microsoft says to plan about 2 Mbps per viewer at each location, or 3 Mbps for 1080p — a 300-seat office watching individually is a network problem, not a video one. Licences change; we check your tenant before the day.
A 90-minute all-hands agenda template
| Time | Segment | Length | Note |
|---|---|---|---|
| 10:00 | Doors and stream open with a holding loop | 15 min | Remote viewers see a countdown, not a black screen |
| 10:15 | Host welcome and how to ask questions | 3 min | Show the Q&A link or QR on screen and in chat |
| 10:18 | CEO: the quarter, the year, the one thing that matters | 15 min | Confidence monitor; slides run by our operator, not the speaker |
| 10:33 | Business updates: two or three leaders | 20 min | Hard seven-minute slots; video stings between speakers |
| 10:53 | Spotlight: a team, a customer story or a new joiner cohort | 7 min | The human part people remember |
| 11:00 | Open Q&A, room and remote merged | 25 min | A moderator reads remote questions; roving mics in the room |
| 11:25 | Close: what happens next, where to find the recording | 5 min | Recording and transcript out the same day |
A 90-minute all-hands. Q&A gets at least a quarter of the time — it is the only reason many people attend live.
