Corporate concertsYour people will remember the song. You will remember nothing went wrong.

A headline act at the annual day, a live band for the dealer night, an acoustic set at the leadership dinner — private concerts for companies, produced so the music is the only surprise.

The short answer

What is a corporate concert, and what does it take to run one?

A corporate concert is a private live-music show a company hosts for employees, dealers, customers or partners, usually at an annual day, award night or celebration. Running one well means booking the artist through their management, building stage and sound to the rider, securing police, sound, music and liquor permissions, and fitting the set inside the venue’s curfew.

A company concert looks simple from the seats: an artist, a stage, a crowd that sings along. Behind it, the HR or marketing lead carries a large fee, a leadership team in the front row and an audience that will talk about the night for a year. We plan it like a public show with one difference — every guest is someone your company invited.

What keeps event owners up at night

The risk is not a bad song. It is the hour before it.

  • The artist is ready; the stage is not.A rider asks for specific monitors, a drum riser and clean power. We draw the stage to the rider and get the artist’s team to sign it off two weeks out.
  • The awards overrun into the concert.Every speech that runs long eats the headline set, because the curfew does not move. The show caller protects the artist slot.
  • The bar opens without a licence.Karnataka’s 2026 excise rules class corporate events as commercial for the CL-5 occasional licence, at ₹75,000 a day (TeamLease RegTech). We file it early with the venue.
  • Two thousand people leave at once.Cab bays, parking and the exit route are planned like the entry, so the night does not end in a jam.

Corporate concert formats that work

Match the act to the audience and the room. A headline artist suits a 2,000-person annual day; it can overwhelm a 150-person leadership dinner.

What drives the cost of a corporate concert

We do not print artist fees: they vary by act, date and demand, and we quote only what the artist’s management confirms in writing. These are the lines that make up the total.

Method

How a Pani Productions event runs

  1. Brief & ballpark

A 30-minute call with your event owner. You get a format, venue shortlist and an itemised cost range you can take upstairs.

  2. Venue & concept

We check dates, layouts and rooms with venues, run a site recce, and build the creative: theme, stage, content flow.

  3. Production plan

Stage, LED, sound and light specified and drawn. Delegate logistics, rooming lists, transfers and F&B locked to a master timeline.

  4. Rehearsals

Technical rehearsal and a cue-to-cue run with presenters. Backup power, spare mics and playback files ready before doors open.

  5. Show day

One show caller on headset runs every cue. Your team hosts; nobody from your side should have to carry a radio.

  6. Close-out

Reconciled invoice against the estimate, vendor settlement, photos and a short debrief on what to repeat next year.

FAQ

Questions people ask before they book

We’re a 2,000-person company in Whitefield — can we host a concert at our annual day?
Yes. KTPO in Whitefield lists an AC hall of about 5,371 sq m (Wikipedia), and hotel lawns and convention halls across the city work too. We check the curfew, the artist’s stage needs and transfers from your office before recommending one.
How early should we book an artist for a corporate concert?
Eight to twelve weeks for most acts, and earlier for dates in the October–February season, when Bangalore’s large venues fill first. Artists often hold a date only once a written offer and advance are in. We start the conversation with management as soon as the budget is approved.
Is a private company concert treated as commercial for the liquor licence?
Under Karnataka’s 2026 excise amendment, corporate events are listed as commercial events, with a CL-5 fee of ₹75,000 a day, and using a non-commercial licence for one carries a penalty of three times the commercial fee (TeamLease RegTech). Rules change; we confirm current requirements with the authority for your date.
Do we need a PPL or IPRS licence if a band is playing live?
Possibly both. PPL licenses sound recordings — the DJ set, walk-in music and award stings — while IPRS administers the underlying songs and lyrics, and one licence does not cover the other (S.S. Rana & Co.). We check repertoire and the venue’s existing licences. See music licences for events.
Can the concert be indoors to avoid the 10 pm limit?
Yes. The 10 pm–6 am loudspeaker rule exempts closed premises such as auditoria, conference rooms and banquet halls (Noise Pollution Rules 2000, rule 5). An indoor hall such as Chowdiah Memorial Hall (about 1,100 seats, Wikipedia) or a convention hall lets the show run later, subject to the venue’s own timings.
Can you run a corporate concert at our offsite in Goa or Kerala?
Yes. Resort lawns, beach decks and poolside stages suit bands and DJs for 50–500 guests. Resort and local rules on amplified sound still apply. See corporate offsites in Goa and corporate offsites in Kerala.
