The short answer

What an event management company actually does

An event management company plans and runs a business event from start to finish: brief, concept and estimate, venue sourcing, stage and AV production, guest travel and logistics, hospitality, the run-of-show and rehearsals, show-calling on the day, and reconciliation afterwards. One accountable team replaces a dozen separate vendors you would otherwise manage yourself.

How we help

All eight stages, one person to call

  • A named producer from brief to close-out
  • Technical and dress rehearsals for every show
  • Changes priced in writing before they are made
  • Reconciled invoice against the approved estimate
The eight stages

Event management company services, stage by stage

Every corporate event moves through the same eight stages. A full-service company owns all of them; a vendor owns one.

Roles

Event management company roles on a corporate show

On a mid-size conference or annual day you should be able to name each of these people before the contract is signed.

  • Producer or account lead — your single point of contact, owns budget and decisions.
  • Production manager — stage, LED, sound, light and crew; writes the technical rider.
  • Show caller — runs the cue sheet on the day and calls every light, video and microphone change.
  • Logistics lead — rooms, flights, transfers and the guest manifest.
  • Hospitality lead — menus, dietary lists and the banquet team.
  • Creative lead — theme, stage design, show graphics and video.
What stays with you

What you should never hand over

A good event company takes the work, not the decisions.

Keep the business content (what the CEO says, which partners are awarded, which targets are announced), final approval of the guest list, budget sign-off and the internal communication that gets people to attend. The company should make all of these easier — rehearsing the CEO, drafting invitations, flagging cost before it is spent — but the decisions are yours.

What changes the answer is scale. A 40-person leadership offsite may need only venue, travel and a facilitator. A 1,500-delegate conference at BIEC, where a bare hall is just the start (BIEC rate card), needs every stage in the table. See agency vs in-house.

FAQ

Questions people ask before they book

What services does an event management company offer?
Typically concept and theme, venue sourcing and contracts, stage, LED, sound and light, décor, guest registration and travel, hospitality, entertainment and emcees, the run-of-show and rehearsals, on-site management, photography and video, and reconciliation. Some offer all of it; others specialise, so ask which stages the quote covers.
Is an event management company the same as an event production company?
Not quite. A production company focuses on the technical show — stage, LED, sound, light and crew. An event management company owns the whole event, including venue, travel and guests, and usually hires or includes production. See event production in Bangalore.
What is the difference between event planning and event management?
Planning is the work before the day — brief, budget, venue, design and logistics. Management includes planning and also running the event live: crew, vendors, show-calling and problem solving, then closing the accounts. Many companies offer both under one fee; check which one you are buying.
Do event companies own their own equipment?
Some own sound, light or staging; many hire from specialist rental houses. What matters is that one company is accountable for the whole technical rider and the backups, that production appears as its own line in the quote, and that someone named owns the spare equipment on the day.
Our HR team of three runs an annual day for 1,200 people in Whitefield. What would an event company take off our plate?
Venue and layout, stage and LED, sound and light, the run-of-show, rehearsals for performers and awards, the emcee, transport through Outer Ring Road traffic and show-day crew. Your team keeps the guest list, the awards list and leadership content. See annual day management.
How do event management companies charge?
Usually a percentage of the event budget, a fixed project fee, or a retainer for repeat events; some build their margin into vendor lines instead. Ask for the fee as its own line so you can compare quotes fairly. See how much an event manager charges.
