The short answer

The short answer on what a hybrid event means

A hybrid event is a single event with both an in-person audience and an online audience taking part at the same time. A true hybrid is more than a livestream: remote attendees can ask questions, vote and be addressed from the stage, so both audiences get an experience designed for them.

The formats

Hybrid events: four formats, from simple to full

Industry definitions agree that a hybrid event brings in-person and virtual attendees together, and that a true hybrid is more than live-streaming a stage (vFairs).

FormatWhat the remote audience getsTypical use
Livestream onlyWatches the stage; no interactionTown halls and AGMs where most people just need to see and hear
Interactive hybridWatches, plus live Q&A, polls and chat answered from the stageTown halls, investor days, sales kickoffs across offices

What it needs

What is the main feature of a hybrid event — and what it takes

The main feature is two audiences in one programme, which means the production has to serve both at once.

  • Cameras and a vision mixer. At least two cameras so the stream is not a single wide shot, plus slides and video cut in live.
  • Clean audio feed. A dedicated mix for the stream; what sounds fine in the room can sound thin online.
  • Bandwidth. YouTube recommends 14 Mbps for 1080p at 30 fps and 8 Mbps for 720p (YouTube Live encoder settings); we plan a dedicated line plus a backup.
  • Platform. Registration, chat, Q&A and polls, with someone moderating them live (vFairs).
  • Remote speakers. Tested links, a return feed to the stage screen and a rehearsal with each speaker.
  • Rights. PPL’s event licence covers on-ground use only, not streaming (PPL India tariff 2025); music in the stream needs separate rights or royalty-free tracks.
Worked example

A Bangalore town hall for 400 in the room and 3,000 online

A company runs its quarterly town hall from a Whitefield auditorium: 400 employees in the room, 3,000 watching from other offices and home. We run three cameras, a separate stream mix and a dedicated internet line with a 4G bonded backup. A stream host on a side set reads remote questions to the CEO, and polls appear on the stage LED and the stream at the same moment, so the room sees the remote audience take part. Walk-in music is royalty-free in the stream.

The CEO’s 20-minute address becomes a recorded asset the same day. See town hall event management and hybrid and live-streaming events.

What changes the answer

What changes the answer

  • Audience split. If most people are online, design for the camera first.
  • Time zones. Global teams may need a repeat session or on-demand replay (vFairs).
  • Confidentiality. Internal results need a private, access-controlled platform, not a public link.
  • Venue internet. Hotel Wi-Fi is not a broadcast line; ask for a dedicated wired connection.
FAQ

Questions people ask before they book

What is a hybrid event, in simple words?
One event with two audiences at once: people in the room and people joining online. In a good hybrid both can take part — asking questions, answering polls, being spoken to from the stage — instead of the online audience only watching.
What is the difference between a hybrid event and a virtual event?
A virtual event has no in-person audience; everyone joins online. A hybrid event has a live, in-person audience as well as an online one, so the production has to work for the room and the camera at the same time.
Is a livestream a hybrid event?
Strictly, a simple livestream is the most basic form. Most industry definitions say a true hybrid adds interaction for remote attendees — Q&A, polls, chat and segments designed for them. For a town hall where people only need to watch, a well-produced livestream may be enough; for an SKO or conference, plan interaction.
How do I host a hybrid event?
Pick the format, then plan cameras, a separate stream audio mix, a dedicated internet line with backup, a platform with Q&A and polls, a moderator, rehearsed remote speakers and streaming rights for any music. Rehearse the full stream before the day.
We have 200 people in Bangalore and 600 across other offices — should our SKO be hybrid?
Usually yes, as an interactive hybrid: the Bangalore room gets the full show, and other offices join with live Q&A, polls and recognition moments that call out remote teams by name. Consider local watch parties so remote teams feel present.
How much bandwidth does a hybrid event need?
For a 1080p stream at 30 fps, YouTube recommends 14 Mbps upload, with a 5 Mbps minimum; 720p needs about 8 Mbps. Plan a dedicated wired line with headroom and a separate backup connection. Hotel Wi-Fi shared with guests is not enough; ask the venue for a dedicated, wired line and test it at the recce.
