How to organise a concertA concert is a hundred small deadlines that all land on one night.
A practical, step-by-step guide to planning a music concert — for companies, brands, colleges and charities — with the checklist and budget lines we use in Bangalore, Goa and Kerala.
How do you organise a music concert, step by step?
To organise a concert, fix the audience, budget and date; book the artist through their management and get the rider; choose a venue that fits the curfew and crowd; apply for police, sound, music and liquor permissions; build stage, sound and light to the rider; plan entry and exits; then rehearse and run the show from one run-of-show.
The order matters more than the list. Most concert problems come from doing a step too late: booking the venue before the artist’s rider is known, or applying for permissions after tickets are sold. In January 2017 a dance-music concert near Bengaluru was called off hours before it began because the organisers approached the police only two days earlier (The News Minute). The steps below are in the order we run them.
Ten steps to organise a concert
For 1,000–5,000 guests, allow twelve to sixteen weeks. Each step names the decision that unlocks the next.
1. Write the brief
Who is the audience, how many, what is the occasion, what is the budget ceiling, and is it ticketed, invited or sponsored? These five answers decide everything else.
2. Shortlist artists
Ask each artist’s official management or a licensed agency for written availability, a quote and the technical and hospitality rider.
3. Hold two venues
Check capacity for your layout, curfew, neighbours, access, power and load-in days. Hold two dates until the artist confirms.
4. Sign the artist
Contract, advance, cancellation terms, set length, content rights and the rider signed together. Lock the date at the venue.
5. Draw the show
Stage, truss, sound, light, LED and power drawn against the rider and the venue. Quote locked against the drawing.
6. File permissions
Police, sound-system, music-licence and, if serving alcohol, excise. In Karnataka a CL-5 application made within 24 hours of the event is charged the tatkal fee (TeamLease RegTech).
7. Plan the crowd
Entry lanes, frisking, wristbands, zones, medical post, toilets, exits and transfers sized for the peak, not the average.
8. Sell or invite
Tickets or RSVPs only up to the venue’s approved capacity (Deccan Herald, Dec 2025). For ticketed shows, price with GST in mind.
9. Rehearse
Line check, artist sound check and a cue-to-cue run of every non-music segment: welcome, awards, sponsor moments, encore.
10. Run and close
One show caller on headset. Hard stop before the curfew. Load-out, reconciliation and a short post-show report.
The concert checklist we work from
Every line has an owner and a deadline. If a line has no owner, it is the organiser’s.
| Area | What must be locked | By when (planning target) |
|---|---|---|
| Artist | Contract, advance, rider, travel, hotel, green room | T–12 weeks |
| Venue | Contract, layout, curfew, setup and dismantle days | T–12 weeks |
| Production | Stage drawing, sound and light plot, LED content, power plan | T–8 weeks |
| Permissions | Police, sound system, music licences, excise, fire safety | Filed T–6 to T–4 weeks |
| Crowd and safety | Entry plan, security and bouncers, medical, toilets, exits | T–4 weeks |
| Guests | Tickets or RSVPs, wristbands, accessibility, transfers | T–4 weeks |
| Hospitality | Bar, food counters sized for the crowd, artist and crew meals | T–2 weeks |
| Show | Run-of-show, cue sheet, radio channels, weather and power fallbacks | T–1 week |
Planning targets are our practice, not legal deadlines. Rules change; we confirm current requirements with the authority for your date.
How to build a concert budget
We do not publish artist fees or average concert costs: they swing too much by act, date and scale to be honest. This is the structure every quote should follow.
| Budget line | Includes | Common miss |
|---|---|---|
| Artist | Fee, taxes, travel, hotel, ground transport, hospitality rider | Rider items priced after the fee is agreed |
| Venue | Rent, setup and dismantle days, power, cleaning | Extra setup days for a large stage |
| Production | Stage, truss, sound, light, LED, backline, generators, crew | Backup generator and spare mics |
| Permissions and licences | Police, sound, PPL and IPRS, excise (CL-5 commercial ₹75,000 a day, TeamLease RegTech) | Music licences for the DJ and walk-in music |
| Crowd and safety | Security, bouncers, barricades, medical post, toilets, insurance | Female security staff for frisking |
| Guests | Ticketing or RSVP, wristbands, signage, transfers | Cab bays and exit transfers |
| Content and marketing | Photo, video, social, sponsor deliverables | Content rights not cleared in the artist contract |
| Fee and contingency | Production fee and a contingency line | No contingency at all |
Ticket GST: admission to a concert is exempt up to ₹500 per person; above that the whole ticket is taxable (CAclubindia). See the concert cost guide.
How to organise a charity concert or fundraiser
The same ten steps apply. Three things change.
- Ask whether the artist will consider a reduced fee for the cause; even if they agree, the rider, travel and production still cost money — budget them in full.
- Decide early whether proceeds go to a registered charity and how donors receive receipts, and ask your chartered accountant how tickets, donations and sponsorships will each be treated.
- Music licences, police permission and the noise rules apply exactly as they do to any other concert (S.S. Rana & Co.).
