The short answer

What does tech conference production in Bangalore involve?

Tech conference production is running the agenda, the stage and the technology a technical audience will judge you on: parallel tracks with strict timekeeping, live product demos with recorded fallbacks, hands-on workshop rooms with power at every seat, registration and an event app, venue Wi-Fi sized for several devices per delegate, and multi-camera capture for talks people will rewatch.

A developer audience forgives a modest stage. It does not forgive a demo that hangs, a talk that starts twelve minutes late in Hall B, or a workshop where half the room cannot get online. Bangalore’s calendar raises the bar: the state’s flagship Bengaluru Tech Summit ran its 28th edition at BIEC on 18–20 November 2025 (BioSpectrum), and your delegates have sat through many polished events.

What keeps event owners up at night

Tech audiences notice everything. And they post it before lunch.

  • The live demo dies on stage.Venue Wi-Fi drops, a token expires, the laptop sleeps. Every demo has a wired connection, a dry run on the actual network and a recorded fallback cued on playback.
  • Track B runs twenty minutes late. One overrun in a parallel room breaks every “I’ll catch the next talk” plan. Each room gets a stage manager, a countdown the speaker can see and a hard changeover.
  • The workshop room has six sockets.Hands-on sessions with laptops need power at every seat and a network that will not choke when sixty people pull the same package at once.
  • The badge queue meets the keynote.Developers arrive in a wave around 9:30. We size the registration desk and the self-check-in kiosks for that wave, not the day’s average.

What we take off your plate

What we run, so your engineers and marketers can host

  • Track planning, room allocation and a session grid that fits the venue’s real changeover times
  • Speaker operations: CFP shortlist logistics, deck deadlines, tech checks and a green room with a test screen
  • Demo zone build: booths, power, wired drops, screens and a demo schedule that does not clash with keynotes
  • Registration site, QR badges, self-check-in and the event app agenda, coordinated with your platform of choice
  • Network brief to the venue or a specialist Wi-Fi partner: device counts, workshop peaks, streaming uplink
  • Stage, LED, sound, light and show calling for the main hall; one AV technician per breakout
  • Multi-camera capture of every talk and livestream through specialist AV partners
Agenda tracks

How to structure tracks at a tech summit

Tracks are a promise to delegates that they can plan their day. These are the formats that work, and what each needs from the venue.

FormatTypical lengthRoom and production need
Main-stage keynote20–30 minLargest hall, LED or projection, confidence monitor, countdown, a rehearsed walk-on
Technical talk (track session)25–40 min with Q&ABreakout with screen, lapel or handheld mic, runner mic for questions, capture camera
Panel35–45 minFour to five mics plus a spare, a moderator who can see the clock
Hands-on workshop90–180 minClassroom layout, power at every seat, wired or dedicated Wi-Fi, a teaching assistant per 20–25 laptops
Demo theatre on the expo floor10–15 min slotsSmall stage, two screens, its own sound kept low so it does not bleed into booths

Lengths are the working ranges we plan with, not rules. The key is a fixed changeover between sessions in every room, so the tracks stay in step.

Demo zones and expo floors

A demo zone that works at 4 pm, not just at 9 am

Product demos are where sponsors and product teams judge the event. They fail on power, network and noise — never on the booth graphics.

  • Power: a dedicated circuit per row of demo booths, with the load listed per booth before the electrician’s plan is drawn
  • Network: wired drops for every live demo; a separate SSID for exhibitors so delegate traffic cannot slow a demo
  • Noise: demo-theatre sound pointed away from the booths and capped at a level agreed with exhibitors
  • Schedule: booth peaks planned around keynote and lunch timings, with the demo theatre programmed to pull people across the floor
  • Space: for expo-scale shows BIEC publishes exhibition-hall rates of ₹265 per sq m per show day plus taxes (BIEC rate card); hotel ballroom foyers suit 10–30 tabletop demos
Registration, apps and data

Registration and event apps for a tech conference

Pick tools for the delegate’s first five minutes, not for the feature list.

Registration needs ticket types (delegate, speaker, sponsor, student), approval rules for invite-only passes, a QR badge emailed in advance and fast on-site check-in. An event app earns its place with parallel tracks: a personal agenda, room-change alerts and session feedback.

Registration collects personal data, so treat it as a data project. India’s Digital Personal Data Protection Rules, 2025 were notified on 13 November 2025, and the consent and notice obligations for data fiduciaries apply by 13 May 2027 (S.S. Rana). In practice we plan registration forms with a plain-language consent notice, collect only the fields the event needs, and agree with your legal team who owns the data and how sponsor lead-scanning is consented. Rules change; we confirm current requirements with the authority for your date.

Method

How a Pani Productions event runs

  1. Brief & ballpark

A 30-minute call with your event owner. You get a format, venue shortlist and an itemised cost range you can take upstairs.

  2. Venue & concept

We check dates, layouts and rooms with venues, run a site recce, and build the creative: theme, stage, content flow.

  3. Production plan

Stage, LED, sound and light specified and drawn. Delegate logistics, rooming lists, transfers and F&B locked to a master timeline.

  4. Rehearsals

Technical rehearsal and a cue-to-cue run with presenters. Backup power, spare mics and playback files ready before doors open.

  5. Show day

One show caller on headset runs every cue. Your team hosts; nobody from your side should have to carry a radio.

  6. Close-out

Reconciled invoice against the estimate, vendor settlement, photos and a short debrief on what to repeat next year.

FAQ

Questions people ask before they book

How early should we start planning a 1,000-person tech summit in Bangalore?
Five to six months for a venue at that scale, and earlier if your date is in the October–February season. We usually open the call for papers about four months out, so speakers are confirmed and briefed eight weeks before the event. A 200-person developer day can come together in eight to ten weeks if the venue has the date.
What Wi-Fi do we need for a developer conference?
Plan for several devices per delegate, not one — laptops, phones and watches all connect. Hands-on workshops spike demand when everyone installs the same package at once. We give the venue or a specialist Wi-Fi partner a written brief with device counts, peak times and streaming uplink, and we keep wired drops for every stage demo.
How do we stop a live product demo from failing on stage?
Rehearse it on the venue network, on the presenting laptop, at show resolution. Use a wired connection, disable sleep and updates, and keep a recorded version cued on playback. The show caller agrees a single word with the presenter that switches to the recording without anyone in the audience noticing.
Do we need an event app for our AI summit?
If you run parallel tracks, usually yes — a personal agenda, room-change alerts and session feedback save the help desk hours. For a single-track summit under about 300 delegates, a fast mobile agenda page and email reminders do the job with less friction. We work with the platform you choose or recommend one per brief.
Can you run a hybrid tech conference with remote speakers?
Yes. Remote speakers join through a tested link with a backup call, and every talk is captured on multiple cameras for a stream or for on-demand viewing. Scope, platform and any interpretation are agreed per event and costed as their own line. See hybrid and live-streamed events.
Should we add a hackathon to our tech summit?
It works when the hackathon finishes on stage at the summit: teams build in the days before, and finalists demo in the main hall. Running both on the same floor at the same time splits your audience. See hackathon organisers in Bangalore.
Do you produce tech conferences in Goa or Kerala?
Yes — as destination summits, sales-engineering offsites or developer retreats, usually for 100–500 people flying in for two or three days. See conference venues in Goa and convention centres in Kochi. We do not take events in other Indian cities.
